Policies and Procedures for Classes

    1. Putting your membership on hold:

If you go abroad for a lengthy period of time or you have an injury/illness which means that you have to take a break from Pilates for a while, we can put your membership on hold for a maximum of 3 months before reviewing your situation. Putting your membership on hold, rather than cancelling it completely, guarantees that your space in your preferred class will still be available for you as and when you wish to resume classes.

We will inform you of the date on which your membership will be reactivated at the end of this 3 months hold period and this will happen automatically. You can of course resume classes prior to the end of your hold period. Please just email us to let us know that you would like us to take your membership off hold and we will do this for you immediately. Otherwise, we will leave our online booking system to reactivate your membership automatically on the date agreed. If at this point, you decide you wish to cancel your membership completely, please refer to section 2.2 below.

    2. Cancellation:

2.1 Cancellation of a session by a client:

Jessica Pilates is committed to providing a high-quality service to all clients. It is recognised that on occasion clients will book onto a session and subsequently find that they are unable to attend. If you need to cancel your session, please do so via our online booking system (Team Up) no less than 24 hours before the start of the class you are booked on to. If 24 hours’ notice are not given, you will forfeit the class you have paid for and you will no longer be eligible for a catch-up session. In this instance, no fees will be refunded.

If a minimum of 24 hours’ notice of cancellation has been given and you wish to ‘make up’ the class you are unable to attend, you can book yourself in for a catch-up class at any of the other classes that Jessica Pilates runs during the week. All of these classes are listed on our online booking system as well as on the Jessica Pilates website. You have 4 weeks as of the date of your missed class to catch it up. This may mean that you attend 2 sessions in one week.

All missed sessions should be made up before a New Year. Regrettably, any missed lessons will not be carried over to a following year.

If a catch-up session has been organised but you are subsequently unable to attend this class, there will be no possibility for a second ‘make up’ session and the class will be forfeited.

It is your responsibility, rather than that of Jessica Pilates, to make use of our online booking system (Team Up) to arrange your Pilates schedule according to your needs. We at Jessica Pilates will do all we can to assist you should you experience any difficulties using our online booking system. Please refer back to the confirmation email we sent you when you first signed up to our classes for further information about how to cancel yourself off classes and to book in for catch-up sessions.

2.2. Cancellation of a membership by a client:

We have a number of different membership packages at Jessica Pilates. The minimum term for each membership option is listed below:

If you no longer wish to continue with classes at Jessica Pilates after the minimum term for your membership option, please send us an email to say that you wish to cancel your subscription and we will do this for you immediately. We ask that you contact us, expressing your interest to cancel your membership, at least 7 working days prior to the next month’s membership being debited from your account to avoid having to pay for a minimum term of classes that you won’t be attending.

2.3 Cancellation of a session by Jessica Pilates:

Jessica Pilates is committed to offering a high-quality service that meets the needs of its clients and will always aim to run the lessons and classes as scheduled.

Occasionally circumstances will arise which result in the need to cancel a class at short notice. In such an event Jessica Pilates will take active and positive steps to inform clients as soon as possible, initially by mobile text or, failing that, landline phone and/or email. Please therefore ensure that Jessica Pilates has your up-to-date contact details.

Jessica Pilates reserves the right to modify or cancel a lesson if unforeseen circumstances arise but will endeavour to avoid doing so.

Any sessions already paid for but subsequently cancelled by Jessica Pilates will be carried over and a catch-up alternative will be offered. In the event that a catch-up alternative is not possible, Jessica Pilates will ensure that the fee for the session cancelled is refunded to your account as soon as possible.

    3. Medical:

An enrolment health form should be completed before your starting date in which you will be asked to disclose any pre-existing medical conditions. Please advise Jessica Pilates of any changes to your health that may affect your ability to exercise.

    4. Mobile phones:

Please ensure that your mobile phones are switched off or on silent during a class so as not to disturb the session. If, however, you are expecting an urgent phone call, please feel free to leave your mobile on but do let the teacher know at the beginning of the session.

    5. Fees:

Our classes run during term time only. No payments are taken during the month of August due to the summer holidays. If you opt for a 3 months or 6 months membership, which coincides with the month of August, your membership will be put on hold for this month so that you do not pay anything towards your Pilates classes during this time.

Given we only run classes during term time, Jessica Pilates teaches a total of 39 weeks of Pilates per year. The payment for these 39 weeks of Pilates is split evenly over 11 months of the year as opposed to 12, to account for the fact that no payments are taken during the month of August.

Jessica Pilates reserves the right to increase its fees at any time but will give at least 4 weeks’ notice of any changes.

    6. Summer series classes:

Depending on client interest, Jessica Pilates endeavours to run a summer series of classes during the month of August, which is completely separate from the term time classes we run.

Many of our clients either don’t have children or have older children and are therefore not constrained by the school holidays. For this reason, we like to put on some additional summer classes for those who would like to maintain their Pilates practice during this time. We aim to run our summer series of classes for 4 weeks during August in accordance with the bank holidays. Information about these classes comes out around May/June. The classes run subject to the amount of interest we receive from our current clients.

There is an additional fee for these classes because they are completely separate from our term time sessions and are therefore not covered by your monthly membership. Unlike our monthly membership packages, you will be able to choose the dates on which you wish to attend any of our summer classes. Payment for these classes will still be taken in advance of the summer series but you will only be asked to pay for the classes that you have stated you wish to attend according to your other summer plans.
